How to choose a POS system in Kenya

A POS (point of sale) system records every sale, takes the payment and updates your stock. In Kenya it also has to cope with M-Pesa and KRA’s eTIMS invoices. Here is what to check before you pay for one.

What a POS should do for a Kenyan shop

  • Record a sale in seconds, on a phone or a till.
  • Take cash and M-Pesa, and tie each payment to its sale.
  • Keep stock counts right as you sell.
  • Show what you made today without a notebook and calculator.
  • Issue tax invoices that meet eTIMS requirements.
  • Give staff their own logins with limited access.

Eight questions to ask any vendor

  1. Does it record M-Pesa against the sale? Or do you match payments to sales by hand at the end of the day?
  2. Is it eTIMS-ready? Ask them to show the product on KRA’s list of approved integrators.
  3. What is the full cost? Ask about setup fees, charges per user or branch, and fees for support or SMS.
  4. Can you try it first? Make a few real sales before you commit.
  5. What happens when the internet drops? Shops lose sales when the till stops.
  6. What hardware do you need? Often a phone or tablet you already own. Receipt printers and barcode scanners are extras.
  7. Can you export your data? Your sales and stock history should stay yours if you leave.
  8. Who answers when it breaks? Send a question before you buy and see how fast they reply.

Free or paid?

A free tool is fine for learning the basics. Check what it leaves out: eTIMS, M-Pesa matching, staff roles, support. Paid is not automatically better, so compare the total cost against the time and mistakes it saves you.

Setting up and training your team

Start with your products, prices and opening stock. Run the POS next to your notebook for a week, then drop the notebook. Staff learn faster when they help choose the system, so let the person who works the till try it first.

Where Omnistack fits

Omnistack has two modes. Hustler mode suits stalls, kiosks and one-person shops. Business mode adds a full ERP with staff roles, branches, purchasing and reports. You can switch as you grow and keep your history.

Common questions

Can I set up a POS without technical skills?

Yes. A browser-based POS needs no installation. You enter your products and prices and start selling.

How long does setup take?

A simple shop can be selling within a day once the product list is entered. Several branches, staff roles and imported records take longer.

Do I need special hardware?

Not to start. A phone or tablet is enough. Add a receipt printer or barcode scanner when your volume justifies it.
